BILLING AND PAYMENT

For Private Lessons:

Students are responsible for all registered lessons/classes unless they withdraw before their fourth lesson/class. All invoices are sent via email, and payments may be made online, mailed in, or over the phone. Past due accounts will be assessed a late fee of 10% of the amount past due, beginning the day after the due date. If an account remains past due after 30 days, an additional 10% late fee will be added. After 60 days of an outstanding balance, lessons will be temporarily suspended and a hold will be placed on the account until payment is received.

For Classes:

Payment for all RCMS classes must be paid in full prior to the first class. All invoices are sent via email, and payments may be made online, mailed in, or over the phone. Participation in classes will be denied until payment is received in full.

WITHDRAWAL AND REFUNDS

Any student wishing to withdraw from lessons or classes must notify the office at [email protected] or by calling 585-594-6321. Notifying one’s teacher or not attending lessons is not considered official notification of withdrawal and charges for those classes will still accrue. Students who withdraw due to a verified medical reason will be issued a refund.

Lessons: Students who withdraw before their fourth week of lessons will only be required to pay for lessons they have attended. Students who withdraw after their fourth week of lessons will be charged for the entire term.

Classes: Students who withdraw before their second class will be eligible for a refund of the remaining classes. Students who withdraw after their second class are ineligible for any refund.

SUSPENSION

A student’s registration for lessons/classes may be suspended for one of the following reasons:

  • non-payment of any classes or lessons
  • consistent disciplinary problems
  • poor attendance characterized by repeated missed lessons or last minute cancellations over the course of 4 or more consecutive weeks

CANCELLATION

All lessons and classes scheduled must be paid for regardless of the student’s attendance as the teacher has been scheduled for that time. If the teacher cancels the lesson/class, or if there is a cancellation due to weather, the teacher may offer a make-up lesson/class at the end of the term. If there is not an agreeable time for a make-up lesson/class, RCMS will issue a credit or refund. Teachers are not required to make-up lessons missed by the student.

Students who have a religious holiday, school music function, or college audition may request a refund for a missed lesson/class by contacting the office at [email protected]. If a student sustains an injury that prevents them from playing their instrument, they may request credit or a refund for those lessons missed. Other than these exceptions or extenuating circumstances, credit/refunds for lessons missed by the student will not be given.

If a scheduled holiday falls on a lesson day (i.e. Memorial Day, Independence Day, Good Friday, etc) the teacher has the option of offering a make-up lesson. If there is not an agreeable time for a make-up lesson, RCMS will issue a credit or refund.

RCMS WILL be open on the following days:

  • MLK Jr. Day
  • Columbus Day
  • Veteran’s Day

LESSON DATES AND TIMES

A student’s teacher will coordinate a lesson date and time with the student/family at the beginning of the fall term or, for those who enroll mid-term, after the student’s registration. Once the lesson date is established and confirmed by both the teacher and the student/family, the lesson time is then fixed and the customer will be billed for the term. Teachers are not required to change the permanent lesson date/time once it is confirmed with the student/family. If a student’s schedule changes mid-term and they are not able to attend the remaining lessons, they will still be billed for the entire term. Students may request to change teachers, and requests will be granted if there are other teachers available at the start of the next term.
